Position Purpose:   

  • Provides general office support with a variety of clerical activities and related tasks. The receptionist is responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, requisition of supplies, administrative support for onsite staff, as well as many additional duties as assigned.

 

Essential Duties and Responsibilities:

  • Answers main phone lines and transfers calls to appropriate staff
  • Greets visitors and ensures they are signed in, badged and escorted as needed
  • Assigns appropriate badges (visitor, temp, foreign national, contractor, USG S/T,

DoD S/T, manager's) including appropriate paperwork and required documentation

  • Ensure cleared guests and foreign nationals are entered into the cleared visitor database appropriately and are given the correct badge
  • Manage CDs for security DTOs and IT updates for classified area
  • Maintains visitor logs including their creation and archiving 
  • Creation and dissemination of new visitor logs for all offices
  • Ensures printers are fully functional and have requisite supplies
  • Handles any maintainace or service calls by outside companies to support internet, printers, and other office components
  • Support all company meetings, parties and events including planning, catering, decorating and ordering of supplies
  • Supports accounting with check processing by entering verifying the checks in the checks printed database and preparing them for the mail
  • Supports accounting by receiving, preparing, printing, and forwarding staff expense reimbursements
  • Manage office supplies including inventory, ordering, and maintaining
  • Maintain breakroom supplies- ordering, maintaining, working with vendors
  • Sorts mail for distribution to staff
  • Creates and orders business cards for all offices
  • Accepts deliveries at front desk
  • Creates welcome packages for new employees
  • Prepares cubical/office for new employees including cleaning and supplies
  • Ensures front entrance and front desk have a professional and tidy appearance
  • Schedules and coordinates interviews for various business areas and onsite staff
  • Supports staff in printing and preparing client presentations and documentation
  • Interacts with building management to ensure maintainance needs are reported and met and sends pertianant information to staff about building

Education/Experience:

 

HS Diploma and at least one-year administrative experience.

Ability to acquire a clearance.

 

Supervisory Responsibilities:

 

This position has no supervisory responsibilities.

 

Working Conditions/ Equipment:

 

This position requires long periods of sitting at a desk working on a computer and answering the phone. It requires transferring large quantities of supplies from one building to another and the ability to lift at least 25 lbs.
